The Gallery & Administrative Assistant reports to the Director and works alongside all ACWL-Nuveen staff. The individual at the front desk plays a key role in welcoming customers, working with artists and artist teachers, and assisting in data entry for the organization. This is a hands-on position in a small non-profit environment. The successful candidate will be comfortable balancing customer service, administrative tasks, and event support while shifting between priorities as needed.

This is a part-time position (approximately 12-15 hours per week), including afternoon and evening hours, with occasional weekend hours for special events.

Compensation & Benefits

  • $16-18/hour, depending on qualifications and experience

  • 10 paid holidays

  • Eligible for one week of paid vacation following 3-month probationary period

  • Eligible for a SIMPLE IRA after one year of employment

Key Responsibilities

Gallery Assistance

  • Interact with staff, customers, guest artists, and artist members in a friendly, engaged and helpful manner

  • Process gallery sales using the organization’s point-of-sale system, including handling cash and credit/debit transactions

  • Answer customer questions and phone calls

  • Work and close the facility during evening classes

  • Assist students and teachers as necessary during classes

  • Type, print, cut and hang exhibition and retail gallery tags and signage

  • Help organize and maintain Artist Member records

  • Keep the gallery clean and orderly

  • Take basic photos of classes for ACWL-Nuveen documentation and promo

 

Administrative Assistance

  • Update Membership Database, which is currently a Google spreadsheet

  • Assist the Director with the transition of the Membership Database from Google Sheets to Little Green Light CRM, including data entry, record review, and importing donor/member information

  • Prepare and send mailings using mail merges

  • Post classes and events on White Lake Area Chamber website and Visit Muskegon Website

  • Distribute flyers/brochures around the White Lake area

  • Maintain confidentiality and exercise discretion when handling donor, member, customer, and organizational information

 

Team Contribution

  • Support event coordination and on-site execution, including setup, teardown, and guest interaction

  • Take photos during events

  • Participate in planning meetings

  • Assist in proofreading marketing materials

 

Required Qualifications

  • Associate degree or equivalent relevant experience

  • Strong written and verbal communication skills

  • Computer proficiency, including working knowledge of Google Workspace and Microsoft Excel/Google Sheets

  • Organized, detail-oriented, and efficient

 

Preferred Qualifications

  • Customer service/POS experience

  • Familiarity with CRM systems (e.g., Little Green Light)

  • Experience with website platforms such as Wix, Squarespace, or WordPress

  • Knowledge of art, art-making practices, and various art mediums

Physical Requirements

  • Ability to stand for extended periods and assist with light lifting, setup, and teardown of exhibitions and events
